Closing Out The Position Check List
- Contingent offer is made. Background check is completed. In depth Reference Check is completed. Offer is confirmed to candidate.
- Hiring Manager completes all applicant status information (e.g. interviewed, face-to-face, and not hired).
- Hiring Manager completes Hiring Proposal. The Hiring Proposal process can not proceed until all applicant status selections are completed in Step 2.
- Carol Thomson (ext. 6602) in Human Resources will receive the final Hiring Proposal and designate the “position as filled”. Carol removes the position from the website.
- The position “filled status” automatically generates a regret letter to the applicants who were qualified, but not interviewed. Their applicant status would be “not hired”.
- Chairperson completes the Chair Report with the dates of the telephone and face-face interviews. (The report can be printed from the Star System and hand written).
- Chairperson submits the completed Chair Report as part of Applicant log materials.
- Chairperson returns all materials on the candidate hired (application, résumé, cover letter, reference notes, transcripts, etc.) to Brenda Bethelmy ext. 6755 in Human Resources. Note: the application on the person hired can be printed from the Star System.
- Interviewers should only write on the interview questionnaire, not on résumés or applications.
- Chairperson returns the Chair Report and interview materials except applications on all candidates interviewed. These interview materials (e.g. interview notes, telephone interview questions, and scoring/ranking systems if utilized) should be sent to Linda Peters .ext 6713 in Human Resources.
- Special reminder: the Hiring Manager must “regret” applicants by telephone who were contacted by the college for either telephone interviews or face-to-face interviews. To ensure improved customer service, these same applicants will receive an e-mail generated regret letter from System Office.
